Group services
Booking group services:
Group services, including in-person groups, online groups/webinars, and social and peer support groups, can be booked by navigating the Our Services page on this Site.
Where there is a fee for the service, full payment is required to secure your place in the group. Where there is no fee for the service, you will be required to follow the prompts to "RSVP" or "purchase" a ticket (you will not be charged) to secure your place in the group.

Payment:
Where a fee is associated with a group service, we require full payment of that fee at the time of booking to secure your place within that group. Your place in the group service cannot be held or confirmed until payment has been processed. If full payment is not received, that place in the group service will be released back to our Site for booking and purchase.

For multi-session group services (i.e. a group that consists of more than one session on the same day and/or over multiple days), the fee is inclusive of all required sessions for that service, and is booked and purchased as a single service. Due to this, payment for all sessions is required at the time of booking to confirm and secure your place within the group.

Where a group service is free of charge (e.g. social group "walk and talk"), you will be required to "RSVP" or "purchase" a ticket for that service to register your attendance. Your place in the group will be confirmed once you have completed the booking prompts, and you will receive an email with confirmation and your ticket (if a ticket is required). If you are required to "purchase" a ticket for a service that is free of charge, you will be directed to our checkout, but you will not be charged.
Multi-session group services are sold as a single service. You are unable to book selected sessions in a multi-session group service. In booking and purchasing a multi-session group service, you warrant that you understand, acknowledge and agree to booking and purchasing all sessions included in the service, and that no refunds (including partial refunds), discounts or credits will be provided if you are unable to attend all individual sessions within that service.

Payment conditions and cancellations:
Cancellations made more than 48 business hours before your scheduled service are eligible for a refund or credit.

For cancellations within 48 business hours' or no-shows, the full fee for that group service is forfeited as a late cancellation fee.

If you are unable to attend one or more individual sessions within a multi-session group service, you may email us directly to let us know. As multi-session group services are purchased and booked as a single service, no refunds (including partial refunds), discounts or credits will be provided for the cancellation of individual session/s included within that service.

Cancellations must be made by emailing us directly at hello@innerbloompsychservices.com.au.
Please include your name* and "- cancellation" in the subject line of your email (e.g. "Jane Doe - cancellation") so that we can clearly identify your cancellation request.
*or the client's name if you are authorised to book or cancel sessions and/or services on behalf of a client.
If your late cancellation or no-show is due to experiencing an accident, emergency, illness or any other exceptional circumstances, you may request that we waive the late cancellation fee. Documentation or other appropriate evidence of your circumstances (e.g. medical certificate, letter of attendance) must be sighted in order to waive the late cancellation fee.

Late arrivals:
If you are running late, please email us as soon as possible at hello@innerbloompsychservices.com.au to let us know.
Please include your name* and "- running late" in the subject line of your email (e.g. "Jane Doe - running late") so that we can clearly identify your cancellation request.
*or the client's name if you are authorised to book or cancel sessions and/or services on behalf of a client.

If you arrive late, no additional time will be provided for your session or service, and it will still end at the originally scheduled time. We do not provide partial refunds, discounts or credits for sessions or services due to late arrival, and the full fee still applies.

If you arrive more than 15 minutes late for your session or service, you may forfeit your ability to participate in that session or service, and the late cancellation/no-show fee will apply.
Where possible, and if appropriate notice has been provided, we may be able to assist in making arrangements for you to still participate in a session or service despite arriving late, however, this can never be guaranteed.

Ongoing cancellations:
Spaces in our group services are strictly limited, and cancellations may not provide those on our waitlist with enough notice to take your place. Where there are three or more instances of cancellations and/or no-shows, your ongoing access to our services will be reviewed. If you are having difficulty maintaining attendance of services, please contact us so that we can discuss this with you.

Third party claims and rebates:
Group services may be eligible for Medicare rebates with a current Mental Health Care Plan.

Inner Bloom Psychology Services does not submit claims for third party rebates or reimbursement (e.g. claiming Medicare rebates, requesting reimbursement from an Insurance provider) on clients' behalf. The client is responsible for paying service fees up-front and will be issued a receipt with the relevant item number/s (if applicable) and service details to submit any claims for rebates or reimbursement.

Inner Bloom Psychology Services cannot guarantee payment of services or rebates by third parties. Where a third party declines to provide payment or rebate for a service, it is the responsibility of the client to cover this cost.

Clients are personally responsible for the payment of cancellation fees. Cancellation fees are not claimable under Medicare. Where other third parties decline to pay for a cancellation fee, it is the responsibility of the client to cover this cost.

NDIS participants:
If you are a NDIS participant, you may be able to access group services under your NDIS Plan.

Inner Bloom Psychology Services can only provide NDIS services to Self Managed and Plan Managed NDIS participants. Inner Bloom Psychology Services is not a NDIS Registered Provider and cannot provide NDIS services to Agency Managed NDIS participants.

Self Managed NDIS participants will be required to pay the full service fee up-front, and will be provided with a receipt to submit to the NDIS for reimbursement.

Plan Managed NDIS participants may choose to pay the full service fee up-front, and be provided with a receipt to forward to your Plan Manger, OR you may request that Inner Bloom Psychology Services submits invoices to your Plan Manager for payment.

As NDIS participants cannot be charged a deposit or prepayment for services, no deposit or prepayment is required for NDIS participants, and the full fee for services must be paid after the service is completed. Our cancellation policy and late cancellation/no-show fees still apply for NDIS participants.

Inner Bloom Psychology Services cannot guarantee payment of services under your NDIS plan. Where the NDIS declines to provide payment for a service, it is the responsibility of the client to cover this cost.

Clients are personally responsible for the payment of cancellation fees. Should the NDIS decline to pay for a cancellation fee, it is the responsibility of the client to cover this cost.
Individual services
Booking one-on-one services:
Inner Bloom Psychology Services is a group-based psychological service and does not provide ongoing psychological treatment on an individual/one-on-one basis.
One-on-one services are only available where they are deemed necessary or desirable for the purpose of providing effective health care services. One-on-one services may include but are not limited to short-term one-on-one psychological treatment sessions following engagement in one of our other services, a one-on-one follow-up regarding your engagement in one of our other services, an intake session prior to engaging in a group service, or a "catch-up" session if you missed an individual session within a multi-session group service.
If we believe you may benefit from a one-on-one session, we will discuss this directly with you and arrange a suitable appointment time. Appointments can be attended in our Rockhampton office, over the phone, or via Zoom. A 50% deposit is required at the time of booking to secure your appointment.

Payment and deposits:
One-on-one sessions and individual services are billed at an hourly rate. A 50% deposit is required at the time of booking to secure your appointment. Payment can be made over the phone using your credit or debit card, via direct bank transfer, or we can issue an invoice for online payment.

Payment for individual services is due on the day of your appointment. If payment is not processed on the day of your appointment, a $10 late payment fee will be added to your invoice to cover additional administrative costs.

Payment conditions and cancellations:
Where cancellations made more than 48 business hours before your appointment, you may request to have your deposit refunded or credited towards a future service.

For cancellations within 48 business hours', the deposit for your appointment is forfeited as a late cancellation fee.

For no-shows, the deposit for your appointment is forfeited and you will receive an invoice for the remaining appointment fee.

Rescheduling your appointment to another day is considered a cancellation and new appointment booking. If you reschedule your appointment with more than 48 business hours' notice, we will transfer your deposit to the new appointment.

If you have booked an in-office appointment and you are experiencing an illness or other personal circumstances, you may request to attend your appointment over the phone or via Zoom instead.

If you arrive late, no additional time will be provided for your appointment, and it will still end at the originally scheduled time. We do not provide partial refunds, discounts or credits for services due to late arrival, and the full fee for your appointment still applies.

If you arrive more than 15 minutes late for your appointment, we may not be able to go ahead with your scheduled appointment. In this instance, your attendance will be marked as a "no-show" and associated fees will apply.
Where possible, and if appropriate notice has been provided, we may be able to assist in making arrangements for you to still attend your appointment despite arriving more than 15 minutes late, however, this can never be guaranteed.

Ongoing cancellations:
When you book a one-on-one appointment with us, we have reserved that appointment time exclusively for you. Cancellations may not provide those on our waitlist with enough notice to take your place, resulting in reduced access for others, and a loss of income for us. Where there are three or more instances of cancellations and/or no-shows, your ongoing access to our services will be reviewed. If you are having difficulty attending appointments, please contact us so that we can discuss this with you.

Third party claims and rebates:
Individual services may be eligible for Medicare rebates with a current Mental Health Care Plan.

If you are a NDIS participant, you may be able to access individual services under your NDIS Plan.

Payment is due at the completion of your service.

Plan Managed NDIS participants may choose to pay the full service fee up-front, and be provided with a receipt to forward to your Plan Manger, OR you may request that Inner Bloom Psychology Services submits invoices to your Plan Manager for payment. If you elect to pay the service fee up-front, payment is due at the completion of your service.

As NDIS participants cannot be charged a deposit or prepayment for services, no deposit or prepayment is required for NDIS participants, and the full fee for services must be paid at the completion of the service.

Other services
Inclusive services:
Where brief letters, progress reports or other correspondence is required as a standard part of service delivery (e.g. providing your GP with a progress letter if you are claiming Medicare rebates for a service), the cost for the time required to prepare and send this correspondence is included in the fee for that service.

Communication that is brief and non-clinical (e.g. phone calls under 15 minutes, email communication responding to general inquiries, brief communication relating to booking services, communication relating to payments etc) is considered a standard part of service delivery and/or administrative duties and does not attract any additional fees.

Letters, reports and other additional correspondence:
On occasion, clients or third parties may request that we provide additional services such as more substantial letters, reports or other correspondence. Examples may include but are not limited to providing more detailed progress reports for third parties, providing treatment and progress reports for other health care providers, or providing progress reports to the NDIS.

Payment:
Where clients or third parties request additional services such as letters, reports or other correspondence, this will be billed at an hourly rate and is charged according to the amount of time required to deliver that service.

An invoice will be issued upon the completion of the service. Payment is due within 30 days of the date of issue of the invoice.

An estimate of costs can be provided prior to completing an additional service; however, your estimate of costs is subject to change and is not considered a quote for your service. Actual costs are dependent on the amount of time required to complete your service, and the final amount can only be determined after the service has been completed.
Payment conditions:
No deposit is required for the completion of additional letters, reports or other correspondence.
Letters, reports or other similar documents or correspondence will not be released to the recipient until full payment has been received.

Where a third party has requested and is paying for letters, reports, or additional correspondence, that third party is considered the intended recipient of that letter, report or other correspondence.

Where invoices have not been paid after 30 days, we reserve the right to review your ongoing access to our services. If you are having difficulty paying your invoice, please contact us so that we may discuss this with you.

Additional services such as letters, reports or other correspondence are generally not claimable under Medicare.

Where third parties (e.g. NDIS) are not willing to pay for additional services, the client is responsible for the full cost of the service.

Additional communication:
On occasion, clients or third parties may request that we engage in additional communication that goes beyond the level of communication required for service delivery or administrative duties. Examples may include but are not limited to phone calls or zoom calls lasting longer than 15 minutes, attending stakeholder meetings with a client's care team, or communicating with other supports such as teachers, allied health workers or support workers.

On occasion, we may request to engage in further communication with yourself, your family or carers, other members of your health care team, or other relevant stakeholders for the purposes of delivering effective health care services. This is also considered additional communication.

As a general guide, where communication is more than 15 minutes in length, or is clinical in nature, this is generally considered as additional communication.

If we believe that an individual/one-on-one appointment would be beneficial or more appropriate for addressing your needs, we will discuss this with you.

Payment:
Where additional communication is requested or has occurred, that service will be charged at an hourly rate based on the amount of time required to complete that service.

No deposit is required for the completion of additional communication.

If we advise that you are required to book an individual/one-on-one appointment, a deposit may be required as per the Terms and Conditions of Booking Individual Services.

Where invoices have not been paid after 30 days, we reserve the right to review your ongoing access to our services. If you are having difficulty paying your invoice, please contact us so that we may discuss this with you.

Additional communication may be eligible for Medicare rebates with a current Mental Health Care Plan, depending on the length of communication, the nature of the communication, and who attended.

Where third parties (e.g. NDIS) are not willing to pay for additional services, the client is responsible for the full cost of the service.
